MIXING '18 – Terms & Conditions
Clear registration terms for all participants, presenters and guests.
Key points:
- Registrations are non-refundable, but transferable to another colleague.
- Each accepted presentation requires one valid registration.
- Dinner and excursion tickets are optional and non-refundable once booked.
1. Registration & Payment
- Registration must be completed via the official MIXING '18 platform.
- Registration is confirmed only after full payment has been received.
- All prices are in Euro (€) and exclude VAT unless stated otherwise.
- Student registrations require valid proof of student status.
2. Cancellation & Transfer
- All registrations are non-refundable.
- No refunds are issued for cancellations, no-shows, visa refusal or travel disruption.
- Registrations may be transferred to another colleague.
- Transfer requests must be submitted in writing before the event.
3. Presentation Policy
- Each accepted oral or poster presentation requires one valid registration.
- One presentation = one registration.
- If a presenter cannot attend, they must arrange a substitute presenter.
- The organisers must be informed of presenter changes in advance.
4. Dinner & Excursion
- The conference dinner and excursion are optional add-ons.
- Places may be limited.
- Once booked, dinner and excursion tickets are non-refundable.
5. Visa & Invitation Letters
- Invitation letters are issued only after registration and full payment.
- The invitation letter supports a visa application but does not guarantee approval.
- Participants are responsible for checking and obtaining their own visa or travel authorisation.
- The organisers cannot influence visa or entry decisions.
6. Programme Changes
- The organisers may adjust the programme, speakers, session times or venues if necessary.
- Such changes do not entitle participants to a refund.
7. Liability
- Participants attend the conference at their own risk.
- The organisers are not liable for personal injury, loss or damage of belongings.
- The organisers are not responsible for travel or accommodation disruptions.
8. Force Majeure
- The organisers are not responsible for failure or delay caused by events beyond their control.
- This includes natural disasters, strikes, public health situations or government restrictions.
- In such cases, refunds are not guaranteed.
9. Data Protection
- Personal data is used for conference organisation and event communication.
- Data is handled in accordance with GDPR.
- Data may be shared with suppliers only where needed for event delivery.
10. Photography & Media
- The event may be photographed or recorded.
- Images may be used for conference communication and reporting.
- Participants who prefer not to be photographed should inform the organisers.
Agreement
By registering, participants confirm that they have read and accept these Terms & Conditions, including the non-refundable but transferable registration policy and the requirement that each presentation must be covered by one valid registration.
