Registration Terms & Conditions

These Registration Terms & Conditions apply to all registrations for MIXING18.

MIXING18 is organised by the University of Limerick, Ireland, in collaboration with the EFCE Working Party on Mixing. BlueBox Events B.V. acts solely as Professional Conference Organizer (PCO), conference secretariat and administrative registration partner on behalf of the University of Limerick.

By completing registration for MIXING18, the participant enters into an agreement with the University of Limerick as the legal organiser and contracting party for conference participation.

1. Organiser and Contracting Party

The organiser of MIXING18 is:

The University of Limerick is the legal organiser of MIXING18 and the contracting party for participation in the conference.

BlueBox Events B.V. is not the legal organiser of MIXING18 and does not act as the supplier of conference participation. BlueBox Events B.V. administers the registration process, invoicing, payment processing and delegate communication on behalf of the University of Limerick.

2. Registration

All registrations must be completed via the official MIXING18 online registration platform: mixing18.dryfta.com.

Registration is confirmed only after the online registration form has been completed and full payment has been received. Unpaid registrations may be cancelled without prior notice.

Registration fees include access to the conference and the items listed on the Registration page. Optional events, including but not limited to the Conference Dinner and Excursion, may require an additional fee.

Student registrations require proof of current student status, such as a valid student ID or an official confirmation letter from the participant's institution.

The University of Limerick reserves the right to refuse or cancel a registration if the participant does not meet the applicable registration requirements or if incorrect information has been provided.

3. Registration Fees and VAT

All registration fees are stated in Euro (€).

All registration fees are subject to Irish VAT (23%) in accordance with EU VAT rules for admission to events. This applies regardless of the participant's country or VAT status.

The fees relate to participation in MIXING18, supplied by the University of Limerick as organiser of the conference. BlueBox Events B.V. collects and administers registration fees on behalf of the University of Limerick.

4. Payment

Payment can be made online by credit card, bank transfer, or by any other payment method offered during the checkout process.

All bank charges, transfer fees or currency conversion costs are the responsibility of the participant.

Registration is only confirmed once full payment has been received.

BlueBox Events B.V. administers payment processing on behalf of the University of Limerick. Payment to BlueBox Events B.V. is deemed payment to the University of Limerick for the purposes of conference registration.

5. Invoicing

The invoice issuer and supplier of conference participation is the University of Limerick.

BlueBox Events B.V. administers invoicing and payment processing on behalf of the University of Limerick.

Invoices are issued electronically to the email address provided during registration. Participants are responsible for ensuring that the invoice details provided during registration are complete and correct.

Requests to amend invoice details after an invoice has been issued may not always be possible.

6. Visa Invitation Letters

Visa invitation letters may be issued only after registration has been completed and full payment has been received.

Visa invitation letters are issued solely to support a visa application and do not guarantee that a visa will be granted.

Participants are responsible for arranging their own visa, travel documents and entry requirements in time for the conference.

No refunds will be made if a visa is not granted, unless the cancellation falls within the applicable cancellation terms set out in these Terms & Conditions.

7. Cancellation by the Participant

Cancellation requests must be submitted in writing to the MIXING18 Conference Secretariat at info@mixing18.org.

Cancellations are handled by BlueBox Events B.V. as conference secretariat on behalf of the University of Limerick.

Refunds will be processed as follows:

  • Until 1 June 2026: full refund minus a €50 administration fee.
  • From 2 June 2026 until 1 August 2026: 50% refund.
  • From 2 August 2026: no refund.

No-shows are not eligible for a refund.

Any applicable refunds are administered by BlueBox Events B.V. on behalf of the University of Limerick and will be made to the original payment method where possible.

Refunds will be processed within 30 days after the conference.

8. Substitutions

Participants may transfer their registration to another delegate from the same organisation at no additional charge until 15 August 2026.

Substitution requests must be submitted in writing to the MIXING18 Conference Secretariat at conference-secretariat@Blueboxevents.nl

After 15 August 2026, substitutions and name badge changes may not be possible.

The University of Limerick reserves the right to refuse a substitution if the replacement participant does not meet the applicable registration requirements.

9. Changes to the Conference

The University of Limerick reserves the right to make changes to the conference programme, speakers, venue, schedule, format or other arrangements where necessary.

Such changes do not entitle participants to a refund or compensation, unless the University of Limerick decides otherwise.

BlueBox Events B.V. may communicate such changes to participants on behalf of the University of Limerick.

10. Cancellation, Postponement or Force Majeure

If MIXING18 cannot take place, is postponed, or is materially changed due to circumstances beyond the reasonable control of the University of Limerick, the University of Limerick will not be liable for any costs, damages, losses or expenses incurred by participants.

Such circumstances may include, but are not limited to, acts of God, natural disasters, fire, flood, war, terrorism, civil unrest, strikes, government restrictions, public health emergencies, travel restrictions, venue unavailability, supplier failure, or any other circumstances beyond reasonable control.

Participants are responsible for arranging adequate travel and cancellation insurance.

The University of Limerick and BlueBox Events B.V. are not responsible for travel, accommodation or other costs incurred by participants in connection with the conference.

11. Conduct and Admission

Participants are expected to behave professionally and respectfully towards other participants, speakers, sponsors, organisers, venue staff and conference staff.

The University of Limerick reserves the right to refuse admission to, or remove from the conference, any participant whose behaviour is considered inappropriate, unsafe, unlawful or disruptive.

In such cases, no refund will be provided.

12. Photography, Video and Recordings

Photographs, video and audio recordings may be taken during MIXING18 for documentation, communication and promotional purposes.

By attending the conference, participants acknowledge that they may appear in such materials.

Participants who do not wish to be photographed or recorded should notify the MIXING18 Conference Secretariat in advance.

13. Privacy and Data Protection

Personal data submitted during registration will be processed for purposes directly related to the organisation and administration of MIXING18, including registration, payment processing, invoicing, delegate communication, conference access, reporting and operational planning.

The University of Limerick is the organiser of MIXING18 and determines the purposes for which participant data is processed in connection with the conference.

BlueBox Events B.V. processes registration data as Professional Conference Organizer (PCO), conference secretariat and administrative registration partner on behalf of the University of Limerick.

Registrations are administered through the online event registration platform Dryfta. Personal data entered during registration may therefore be processed in Dryfta for the purpose of managing registrations, payments, invoices, communications and conference participation.

Personal data will only be shared with parties involved in the organisation and administration of MIXING18 where necessary for these purposes, including the University of Limerick, BlueBox Events B.V., Dryfta, payment service providers, the venue and other service providers directly involved in the conference.

By registering for MIXING18, participants agree to receive conference-related communications by email. These communications may include registration confirmations, payment information, practical conference information, programme updates and other essential event-related messages.

Personal data will be handled in accordance with applicable data protection legislation, including the General Data Protection Regulation (GDPR), where applicable. Further information may be provided in the MIXING18 Privacy Statement.

14. Liability

Participation in MIXING18 is at the participant's own risk.

To the maximum extent permitted by law, the University of Limerick, BlueBox Events B.V., the EFCE Working Party on Mixing, the venue, committees, sponsors and suppliers shall not be liable for any indirect, incidental or consequential loss, damage, injury, cost or expense arising from participation in the conference, except in cases of wilful misconduct or gross negligence.

Nothing in these Terms & Conditions shall limit liability where such limitation is not permitted by applicable law.

16. Final Provisions

By completing registration, the participant confirms that they have read and accepted these Registration Terms & Conditions.

If any provision of these Terms & Conditions is found to be invalid or unenforceable, the remaining provisions shall remain in full force and effect.
