Visa Invitation Letters

Participants who require a visa to travel to Ireland may request a visa invitation letter for MIXING18 after completing their conference registration and payment.

MIXING18 is organised by the University of Limerick, Ireland, in collaboration with the EFCE Working Party on Mixing. BlueBox Events B.V. acts as Conference Secretariat and Professional Conference Organizer (PCO) on behalf of the University of Limerick.

Who can request a visa invitation letter?

Visa invitation letters may be requested by participants who have completed their registration for MIXING18 and whose full registration payment has been received.

A visa invitation letter can only be issued for the registered participant. It cannot be issued for accompanying persons, family members or other individuals who are not registered for the conference.

Participants are responsible for checking the visa and entry requirements that apply to their own nationality, country of residence and travel route.

How to request a letter

To request a visa invitation letter, please contact the MIXING18 Conference Secretariat after your registration and payment have been completed.

Please include the following information in your request:

  • Full name as stated in your passport
  • Registration confirmation number, if available
  • Institution or organisation
  • Country of residence
  • Passport number, if required for the visa application
  • Date of birth, if required for the visa application
  • The embassy or consulate where you will submit your application, if known

The Conference Secretariat may request additional information where needed to prepare the letter.

Important conditions

A visa invitation letter is issued solely to support a visa application. It does not guarantee that a visa will be granted.

The University of Limerick, the MIXING18 Conference Secretariat and BlueBox Events B.V. cannot influence the outcome of a visa application and cannot contact embassies, consulates or immigration authorities on behalf of participants.

The Conference Secretariat cannot provide immigration advice. Participants should contact the relevant embassy, consulate or immigration authority for official guidance.

Participants are responsible for arranging their own visa, travel documents and entry requirements in time for the conference.

Timing

Participants are strongly advised to start the visa application process as early as possible. Processing times may vary by country, embassy, consulate and individual circumstances.

MIXING18, the University of Limerick and BlueBox Events B.V. are not responsible for delays in visa processing or for costs incurred as a result of late or unsuccessful visa applications.

Refunds and visa refusal

If a visa is not granted, the participant remains responsible for cancelling their registration in writing in accordance with the Registration Terms & Conditions.

Refunds, if applicable, will be handled in accordance with the cancellation policy stated in the Registration Terms & Conditions. No refund is guaranteed solely because a visa application is refused or delayed.
